What is time management when it comes to our online business? Do we need to understand the concept of time management for just our online business or does it also affect our personal life? As we will find out time management skills help benefit our business as well as our personal lives. So exactly what is time management?
According to Wikipedia “Time Management is the act or process of planning and exercising conscious control over the amount of time spent on specific activities, especially to increase effectiveness, efficiency or productivity.”
Simply put we need to make better use of our time.
Often times when we are doing a task that is important and one that we really do not want to be doing we find ourselves easily distracted. Before the age of the computer if may have been a bit more difficult to get sidelined but now with the click of a mouse we can be surfing around at stuff totally unrelated to what we are supposed to be doing.
We need to try and stay focused on the task at hand.
Often you may hear some of your colleagues bragging about how they can be working on many projects at once. I think the term they use is multi-tasking. This may be true but how good is their actual work? Can they actually give each project the attention it needs all at the same time?
I think not!
What ends up happening is they more than likely get their projects mixed up with each other at some point and then when they notice their mistake they end up pulling out their hair(figuratively). They also have wasted precious time.
Time Management skills are not something that you are born with it, it is something that you need to learn. There are courses offered about time management and they will teach you the proper way to schedule your day so that your day is productive and maybe even fun.
Why Is Time Management Important
Imagine if every day you came to work and you had to sit down and figure out what you were going to do that day? You would basically start from scratch every day. How much do you think you would accomplish?
Probably by the end of the day you would be so frazzled and stressed and on top of that you would have accomplished absolutely nothing. Without any time management tools in place your business would not last very long.
Implementing Time Management
So one of the first things you need to do if you wish to start building up some time management skills is to make a list. This list will detail all the tasks that you are normally faced with each and every day. After you have made your list it is time to look at each task and prioritize them. Do each of these tasks need to be done daily? Do some of them need to be done before others can be done?
Now that you have your list you need to work on the tasks on the list. At first you probably will not get everything done, so what is ever left over at the end of the day you are going to need to reschedule the tasks according to importance.
You need to take into consideration your long term goals versus your short term goals.
Obviously your long term goals are going to be more difficult to complete but make sure you are working on them. Sometimes people have a tendency to complete the shorter tasks for the simple reason that they can finish them. You actually may be putting yourself behind by ignoring the bigger tasks.
Part of the skill of implementing time management is being able to see the whole picture. Although bigger tasks do take longer and are harder to complete they still need to be done to accomplish all your goals.
Another aspect of having effective time management skills is organization. Imagine coming into your office everyday and finding the top of your desk strewn with papers. Everything just all mixed up. Same with your computer. Files not labelled just sitting on your hard drive in no particular order.
What task are you going to do first? Are you just going to grab a piece of paper off your desk and work on that no matter what it is or maybe just click on one of your many unmarked files on your computer and see what is in store for you today.
Obviously you are not going to do either of the above scenarios.
You are going to take some time and organize the files whether they are on your desk or your computer or both. Once your files are organized you can tackle your tasks in a much more efficient manner. By doing this you will accomplish much more in a lot less time.
Another tool of time management that is often overlooked is a calendar. Time has a way of sneaking up on us. Writing down the tasks and when they need to be completed will more than likely save us some major frustration. Reviewing your calendar everyday will give us plenty of time to work on upcoming major projects.
Today you have your choice of calendars. It can be the old fashion type that you hang on the wall or it can be on your computer or your phone or any other portable device you may have. So many choices.
One other thing that might help with your time management is when you are scheduling your tasks you should try and schedule the more time consuming and difficult tasks first thing in the morning. Once you have finished these tasks the rest of the day will be so much smoother.
Having time management skills will definitely help run a better business and it will also help you in your personal life. Things like doctor’s appointments, dentist appointments, your child’s activities etc. all need to be managed. Some of these things we cannot control but knowing when they occur ahead of time will allow you to rearrange things that you can control.
